About this policy
Who we are
HexaHub Business Services, registered in Pakistan ("Hexahub", "we", "our", "us"), runs this website and builds and runs Chatworx. This policy covers this website, messages you send us, and our role behind Chatworx. Our services are for businesses and adults.
1. Information we collect
Contact form
Your name and email address, and, if you choose to give them, your phone number, company, country, the services you are interested in and your message. We store this in our own database and send a copy to our team by email so we can reply.
Messages you send us
If you message us by email, through the chat on this website, or on WhatsApp or Facebook Messenger, we receive your messages and the details the service shares with us, such as your name, phone number or profile name.
Website chat
The chat on this website runs on Chatworx, our own product. It receives your messages, any details you enter before chatting, such as your email address, and any feedback you leave on the conversation. It also receives your IP address, browser type and the page you came from. The chat window loads fonts and code from third-party services, which receive your IP address and browser details.
Cookies and browser storage
This website sets no cookies. It saves your light or dark mode choice in your browser. The chat saves a session identifier and the details you entered in your browser, so your conversation carries on across pages. You can clear both in your browser settings.
Website analytics
We use a self-hosted, cookieless analytics tool to see how the website is used: pages viewed, links clicked, the page you came from, device and browser type, and actions such as sending the contact form. The data is not shared with anyone else or used for advertising.
Form security
To stop spam, we record a one-way hash of your IP address when you send the contact form, never the address itself. These records are deleted within minutes.
2. How we use your information
Purpose of use
To reply to you and provide the services you ask for, to send service updates you have agreed to, to keep the website secure, to understand how the website is used, and to meet our legal obligations.
What we never do
We do not sell your personal data, and we do not use it for advertising.
Legal grounds
We process personal data because you asked us to (for example, by sending an enquiry), to perform a contract with you, to meet legal obligations, or for our legitimate interests, such as keeping the website secure.
3. WhatsApp and Messenger
When we message you
We message you on these services only after you have contacted us there or agreed to hear from us. To stop, tell us in the chat or email us, and we will stop.
How we use data from Meta
Information we receive through these services is used only to have that conversation with you and provide what you asked for. Meta, which runs these services, handles your data under its own privacy policy.
4. Chatworx and the businesses that use it
Our role
Businesses use Chatworx to answer their customers on WhatsApp, Messenger, email and web chat (Instagram coming soon). Each business decides how its customer data is used, and Hexahub processes that data on its behalf to deliver the messages.
Data from Meta
Data received from Meta through Chatworx is used only to send and receive messages for that business. When the business asks, disconnects its account or closes it, we delete that data within 90 days, unless the law requires us to keep it.
If you messaged a business that uses Chatworx
Contact that business first about your data. If you cannot reach them, email us and we will help. More detail is in the Chatworx privacy policy at chatworx.cc/privacy.
5. Who we share it with
Service providers
Our hosting and email providers, the services our chat window loads fonts and code from, and Meta when you use WhatsApp or Messenger. They receive only what they need to provide their service.
When the law requires it
Professional advisers and authorities, when the law requires us to share information.
6. How long we keep it
Retention periods
We keep personal data only as long as we need it, then delete it or make it anonymous:
- Enquiries and messages: two years after our last contact, unless you become a client.
- Client records: for the length of the engagement, then as long as the law requires.
- Form security records: deleted within minutes.
7. Data security
Security measures
We use appropriate technical and organisational measures to protect your data against unauthorised access, alteration, disclosure or destruction. No system is completely secure, so we cannot guarantee absolute security.
8. Your rights
Your data rights
Depending on where you live, you may have the right to access your personal data, correct it, ask us to delete it, withdraw consent at any time, and object to certain types of processing.
Exercising your rights
Email privacy@hexahub.cc or use our contact form, and tell us what you would like us to do.
9. Delete your data
How to ask
You can ask us to delete your data at any time:
- Email privacy@hexahub.cc or use our contact form. Give the email address you used with us, or the phone number or profile name you messaged us from.
- Tell us what to delete: a website enquiry, or a conversation on WhatsApp, Messenger or our website chat.
- We delete it and confirm by email. If the law requires us to keep any record, we tell you which one and why.
Messages to other businesses
If you messaged a business that uses Chatworx, ask that business first. If you cannot reach them, email us and we will help.
10. International data transfers
Cross-border transfers
We work from Pakistan and the United States, and our servers and service providers may be in other countries. Your information may therefore be stored or processed outside the country you live in.
11. Changes to this policy
Policy updates
We may update this policy from time to time. Changes are posted on this page with a new "last updated" date.
